Seat costs and annual commitments, worked out

A per-seat price is rarely what you pay. The headline is usually a monthly equivalent of an annual commitment, and seat minimums change the total. This guide shows the arithmetic with examples from pricing pages that name USD, so the numbers can be compared. It is arithmetic on published prices, not a recommendation, and it excludes taxes.

The formula

Yearly cost = price per seat per month × 12 × seats, if billed annually. For month-to-month billing use the monthly price instead. Then add taxes, extra credits and any seat minimum.

Worked examples (USD named on the page)

Tool and plan Month-to-month Annual billing, per month Paid up front for one year Cost of 12 months month-to-month
Jasper Pro, one seat $69 $59, with a 12-month commitment $708 $828
Zapier Pro, 750 tasks $29.99 $19.99 $239.88 $359.88
Otter.ai Pro, one user $16.99 $8.33 about $100 $203.88

Annual billing can save money, but it removes your option to leave. Jasper’s page describes a 12-month commitment, so the saving is paid for with a year of lock-in.

One check worth making: Jasper’s annual price is 14.5% below its monthly price ($59 against $69). If a page describes a larger saving than the prices imply, trust the prices and ask the vendor.

Seat traps to check before you buy

  • Minimum seats. Fathom lists a two-user minimum on Team and Business, so the smallest purchase is two seats. Its prices are shown with “$” and no named currency, so we do not turn them into a yearly dollar figure here.
  • Seats included. Jasper Pro lists one seat on the visible plan while its page metadata mentions up to five users. Confirm which is true before you plan for a team.
  • Per user versus workspace. Some plans charge every active user, others charge a flat workspace price. Compare per-user cost only between per-user plans.
  • Guest seats. Some plans include free guests. Check whether guests can edit.
  • Promotions. Introductory or card-specific offers are not the ongoing price. Otter’s page marks some lower prices as valid only with an India-issued credit card, so we left them out.

A short checklist

  1. Write down the number of people who will use the tool, not the number you hope to add.
  2. Choose monthly or annual billing, and write the commitment length.
  3. Multiply, add taxes, then add extra credits if usage is metered.
  4. Check minimum seats and what happens when you add or remove one.
  5. Check the currency. Where a page shows “$” and no code, you cannot treat the figure as USD.
