AI automation tools

Automation tools connect apps and run workflows when something happens. They are priced by different units: tasks, credits or executions. The same workflow can cost very different amounts depending on the unit, so estimate your monthly runs before comparing prices.

Some tools are rule-based and some add an AI assistant that drafts messages. Anything that sends messages on your behalf should have an approval step.

How to choose in this category

Who this is for

Small teams and freelancers who want apps to pass information to each other, such as new form entries going into a spreadsheet or a message when a record changes, and who will check the results.

Problems it solves

  • Copying data between apps by hand.
  • Repeating a follow-up task on a schedule or an event.
  • Connecting a tool that does not integrate with another.

How to choose

  1. List the process step by step and count the actions in one run.
  2. Find what each vendor counts: tasks, credits or executions. These are different units and do not convert.
  3. Multiply runs by steps and compare with each free allowance.
  4. Check what happens at the limit: stop, queue or extra charge.
  5. Add a human approval step before anything is sent to a customer.

MakeChecked 21 Oct 20261,000 credits a month; 1 MB data storage; 1 data storeFrom $9/mo (currency not named), billed annuallyEvery module run costs credits, so scenarios with many steps use them quickly, and scenarios stop when credits run out.
n8nChecked 21 Oct 2026Not confirmedFrom €20/mo, billed annuallyOnly annual-billing prices are shown, in euros, and the free Community Edition's licence terms are not stated on the pricing page.
ZapierChecked 21 Oct 2026100 tasks a month; two-step Zaps; 15-minute polling; 2,500 Table records; 10 form pagesFrom $19.99/mo, billed annually, or $29.99 month-to-monthTasks are the billing unit, so busy automations can hit limits. With pay-per-task on, overage is charged at 2.5x (monthly) or 1.25x (annual) the base rate.

Free plans, costs and data in this category

Free automation plans are small and metered in different units: tasks for Zapier, credits for Make, and trial access for tools without a free plan. A free allowance that fits a test may not fit a live process, and a duplicated run spends it twice.

Counted from our records of the 4 tools here: 2 have a confirmed free plan, 2 offer only a free trial, 1 price per seat, 4 meter credits or usage, and 2 show prices without naming the currency.

Cost and billing warnings

  • Zapier says overage with pay-per-task is charged at 2.5 times (monthly) or 1.25 times (annual) the base rate.
  • Lindy bills every active user and sells extra credits; Make says credits expire at the end of the term.
  • n8n lists prices in euros and extra execution buckets on its Business tier; Make and Lindy show "$" without naming the currency.
  • A connected app may need its own subscription. We do not add that cost.

Privacy, data and licensing questions

  • Automations move data between services. List which data goes where and whether each service may hold it.
  • Test with invented records, never live customers.
  • Check who can edit an automation and see its run history.
  • Messages sent automatically are public. Keep a human approval step until you trust the setup.

We have not verified any vendor's data handling and do not give legal advice. See the privacy review checklist.

Best first steps before paying

  1. Automate one tiny, reversible step first.
  2. Run it with one invented record and read the run history.
  3. Record the tasks or credits one run used.
  4. Add a unique-ID check before connecting anything that sends messages.
